Challenge
Consular representative office in Sydney of the government of the Republic of Indonesia, providing
visa and other services to clients.
Need to keep track of all visa applications processed and issued from Sydney Office.
Updating of current problematical system running on old Novell 3.x environment.
Introduction of other facilities within system, including ability to record types of visas and the
various fees associated with different visas.
To provide a streamlined and up-to-date processing facility that was an efficient recording
mechanism as well as providing the necessary scope for different types of visas and the associated
varying fees.
To provide a simple, user friendly system that could be used by all staff in the Consular Office,
without necessity of extensive and ongoing training.
Solution
A review of existing system identified the storing of a lot of unnecessary information. This resulted
in spin-off benefits, in that the Consulate was able to simplify their printed visa application form, and
reduce the amount of time required to enter information.
A review of the entire visa application and issuing process also identified and verified what actually
needed to be stored on the system, to meet the consular office's needs.
A new system based on a more modern windows platform was introduced to provide an efficient and
user friendly interface.
Results
The new windows based system improved the entire visa application process.
The application administrator was able to maintain the parameters of the site such as had already
been implemented -- type of visa application, fees for different visas etc..
The supervisor was able to generate meaningful reports on a monthly basis, including financial and
case history reports.
These reports were also necessary to advise central office in Indonesia.
